Commitment Administration

Project Managers are able to initiate commitments for the initial contract and for scope changes. Subcontractors are able to request changes and the Project Manager can review, reject or accept them. Superintendents, if authorized, are able to create field authorizations. All stages of contract generation can be subject to approval by the appropriate members of the construction team.

Daily Events and Project Monitoring
|
|
Responsible members of the project team can enter or view submittal and transmittal logs, daily reports and RFQs, meeting minutes, hot issues and all other forms of special notices. Furthermore, responsible team members can initiate or respond to project or commitment based communications between other members of the project team. All communication is logged by the system. Project photos may be viewed for construction status and for record retention of project specific information.

Contracts and Commitments Log
|

Shows commitments and contracts issued, approval status, detailed scope of work to be performed for the owner and the scope of operations for each subcontractor assigned to the contract.

Financial Reports
|
|
Members of the Project Team are able to view and remotely print billing and accounts receivable, invoice logs and accounts payable, project history and profitability and labor analysis.

Project Application for Payment
|
|
The monthly percentage of completion may be gathered directly from the construction site by either the superintendent or project manager. These percentages may be approved if necessary by any other member of the team. Once approved, the system can automatically create invoices. Project receivables can be monitored and cash flow schedules can be viewed.

Subcontractor Application for Payment
|
|
Subcontractors directly submit their application for payment. The system automatically generates lien releases for all submitted invoices. The invoices are automatically entered into the General Contractor's accounting system. Subcontractors can review their invoices, payments and anticipated payments online.

Labor/Time Management
|
|
The system provides remote time sheet entry as well as the capability to gather payroll data for check processing for either in-house or outsourced processing. Easy to read labor management and cost projection screens are available.

|
Bid Board
|
|
Subcontractors can be invited to bid on a particular project. The bid information becomes visible to the Subcontractor, at which point, he can submit a bid. The General Contractor can use the system to review, accept and reject project bids.

Project Bulletin Board
|
|
The General Contractor has the ability to post job specific information to be viewed by all members of the construction team. This may include current construction issues and notices, project rules and regulations or job specific billing procedures.

|
Manuals
|
|
The Contractor's Office provides posting and easy access to company personnel, operations and safety manuals. Employees are automatically notified when there are changes in company policies. The safety manual also provides links to MSDS and OSHA.

|
Project Directory
|
|
A full directory of all members of the construction group is available to the team, including contact names, addresses and phone numbers. The project site location, the contractor's staff manning the project and site phone numbers are available along with complete owner/lender information for the filing of preliminary lien notices.

|
Certificate of Insurance
|
|
Subcontractors are automatically notified of insurance deficiencies when they log into the system. Billing restrictions can be placed on Subcontractors not in compliance with predefined requirements. Project managers are notified of deficiencies when entering new commitments for a Subcontractor.
